Job Title: Administrative Assistant
Employment Type: Contract
Work Hours: 40+hrs./week
Work site: Hybrid
Location: Brooklyn, NY 11217
Salary: $23 - $28/Hr
Minimum Education:
High school diploma or equivalent
Work Experience:
Previous experience in an administrative support role preferred.
Job Duties:
Perform Triage:
Review and process various documents, including applications, original work requests, final connector forms, and pending deposits.
Create new ASETs (Asset Setup Entry Tickets) for tracking purposes.
Review and manage accounts, including sending deposit links and verifying deposit payments.
Customer Communication:
Send out customer communications such as B-ticket, SAB letters, Btk letters, irregular condition letters, and hot socket letters.
Create demo letters and send signed demo letters to customers via mail and email.
Document Management:
Review and complete CRMs (Customer Relationship Management records).
Review and process mail items, ensuring appropriate follow-up actions.
Order Management:
Place orders and manage orders using Oracle for various items, including CPM items, final connectors, area contractor invoices, and GOIs (General Order Items).
Support and Coordination:
Provide scheduling support for Emergency Service Responders (ESRs) as needed, including route rescheduling.
Assist in follow-ups and coordination for high-level meetings with organizations such as NYSAFAH, NYCHA, SCA, and Open Main.
Coordinate administrative aspects of meeting invitations for internal and external customers.
Provide assistance with presentation meetings and ensure necessary materials are prepared.
Phone and Administrative Support:
Answer incoming phone calls and provide assistance as required.
Perform other administrative tasks and duties as needed.
Preferred Skills:
Proficiency in document processing and management
Strong organizational and multitasking abilities
Excellent communication skills, both written and verbal
Attention to detail and accuracy.
Ability to work independently and collaboratively.
Familiarity with Oracle or similar order management systems is a plus.
Misc. Information:
This position is a 6-month contract with the possibility of extension.
The role offers a hybrid work schedule with 3 days onsite and 2 days remote.
The work hours are from 7:00 AM to 3:30 PM.
Interviews will be conducted using WebEx or in-person, based on availability.
