The main function of this position is the overall back-office support for the department by processing and communicating non-compliant commercial drivers, processing loan and donation requests for review and approval, and performing clerical functions. Generate electronic log device reports and communications. Support documentation needs related to donation or loans of vehicles File and retrieve corporate documents, records, and reports. Maintain vehicle maintenance system to track and ensure repairs of vehicles. Support the processing of vehicle registration requests for all Apportioned, Commercial, Trailers and Pool Vehicles. My team is responsible for all non-plant vehicle movement for Client Vehicles, DOT Compliance, Event Support, and Vehicle Loan Agreements for all of Client (DET, FTL, WST, FCCC, TBB, etc.) Operations Coordinator. This job provides administrative support for the SUV Operations Team. About 20% of the day is running reports, sending emails out reminding people to sign their logs, working within the Client system to log any violations. Donation approval documents when the team gets requests to donate trucks. Track paperwork related to vehicle donations. Handle requests in for vehicle loan or test requests, send these documents out for signature 30% of the day is contract management. Order fuel cards. Prepare quote requests. Post and update the vehicle maintenance system for all vehicles. Including reminders, showing when items are paid. Assist with monthly billing for internal or external customers.   Requirements Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills. Ability to work independently and manage one's time. Ability to keep information organized and confidential. Essential to be detail oriented Previous experience with computer applications, such as Microsoft Word, Excel, SharePoint, and PowerPoint. High school diploma or GED required. 5-7 years' experience required. Experience working with executives highly preferred. Detail oriented and critical thinkers. Manager will expect that after they train the candidate, they will be able to carry it forward Regulatory agreements and ELD regulations require that candidates have incredible attention to detail. Computer skills. Microsoft Excel and SharePoint experience. This team uses pivot tables daily. The candidates will need to be able to use this skill. Must be able to change environments dynamically. Previous job history in a medical billing office, office management, office coordinator, executive assistant. High School Diploma with 5 years of experience in an administrative office environment.
